[Contract position]
Job Description:
You will provide support to the end-to-end operational and administrative functions across student engagement, tutor management, and centre operations. You will ensure that all processes – including class assignment, fee administration, attendance monitoring, curriculum material management and student retention – are carried out in accordance with organisational and divisional governance requirements and stipulated timelines.
You will play a key role in ensuring the smooth and effective delivery of STEP programmes across multiple centres.
Responsibilities:
- Centre Management
- Manage and support daily operations across up to seven STEP Centres to ensure smooth and efficient programme delivery
- Provide operational guidance to about 70 auxiliary personnel (Centre Principals, Centre Administrators, Tutors, Pupil Management Officer, ICT officer and Counsellor) across the STEP Centres
- Ensure full compliance with internal controls, audit guidelines and Standard Operating Procedures (SOPs)
- Inventory Management
- Coordinate the distribution of learning resources to students and tutors across assigned centres
- Assist in ensuring that teaching and operational resources are available in a timely manner
- Ensure accurate tracking and timely management of inventory in alignment with established processes
- Personnel Management
- Support administrative processes related to recruitment, deployment, attendance, records updating and exit matters for auxiliary personnel
- Maintain and update personnel and operational records in the Education Management System (EMS)
- Assist in coordinating meetings, briefings, sharing sessions and other programme-related activities
- Liaise with internal stakeholders on routine administrative matters relating to programme operations
- Data Management
- Ensure the accuracy and timely maintenance of student records and educational resource inventories in the Education Management System (EMS)
- Generate routine reports on attendance, enrolment, tutor deployment and related operational data
- Assist in compiling data and information for management reporting and programme review
Requirements:
- Diploma or Degree in any discipline, with 2 to 3 years of relevant experience in programme administration, operations, or education support. Experience in a non-profit or education setting will be an added advantage
- Good understanding of the Singapore education landscape
- Demonstrated ability to engage and manage diverse groups of stakeholders to ensure smooth programme delivery and prompt resolution of operational issues
- Proficiency in Microsoft Office; familiarity with data visualisation tools (e.g., Excel dashboards, Power BI, Tableau) will be considered an added advantage
- Good organisational and administrative skills, with attention to detail and accuracy
- Excellent verbal and written communication skills
- Ability to work independently and collaboratively in a fast paced environment
- Willingness to work on weekday evenings to conduct bi-monthly centre audits, weekends and in outdoor settings, when required
- Able to participate in SINDA-wide events, when required
- Approved over-time hours will be compensated with time off or off-in lieu in accordance with internal policy
